Generative AI Policies
Generative AI Policy
The policy of generative use of AI in scientific research and publishing requires clear, transparent, accountable standards. This policy, CITIZEN: Indonesian Multidisciplinary Scientific Journal adopts an AI generative policy by Elsevier that aims to provide transparency in scientific research and publishing as well as guidance to journal authors, reviewers, and editors.
Part 1: Guidelines for Writers
Authors can utilize AI tools to help research efficiently, gain insights by using them responsibly. These AI tools help authors or researchers in synthesizing literature, answering in-depth questions related to certain fields, identifying research gaps, generating ideas, helping to improve language quality and manuscript readability. However, it should be noted that AI tools should be used transparently, and not used as a substitute for the critical thinking of authors/researchers and applied with human controllers and supervision.
Ultimately, authors are responsible and accountable for the content of their work. This includes accountability for:
- Carefully review and verify the accuracy, completeness, and objectivity of all AI-generated outputs (including checking the source, as AI-generated references can be incorrect or fabricated).
- Edit and adapt all materials thoroughly to ensure the manuscript represents the author's authentic and original contributions and reflects their own analysis, interpretation, insights, and ideas.
- Ensuring the use of any tool or resource, AI-based or otherwise, is clearly and transparently explained to readers — for the use of AI tools, we require a disclosure statement at the time of submission.
- Ensure manuscripts are developed in a way that protects data privacy, intellectual property, and other rights, by checking the terms and conditions of each AI tool used.
Disclosure of AI tools: Authors must disclose and document the AI tools used in the manuscript, the name of the AI tool used, and the purpose for which it is used.
Authorship: Furthermore in authorship, the author must not list the AI tool as the author or co-author let alone cite the AI tool as the author. The author must be responsible for ensuring that the listed author is worthy and qualified as a manuscript writer or co-author.
Use of Generative AI in Figures, Drawings and Artwork:
- Authors can use AI tools to support the creation of specific types of explanatory images for publication, such as flowcharts, decision trees, timelines, schematic conceptual illustrations, or experimental workflow diagrams. If used then it should be conveyed in the caption of each image.
- AI tools can be used to support the creation of data visualizations only if the visual output directly comes from the underlying data. If used, it must be communicated in the description of the AI use policy. Furthermore, primary research images must not use AI to create or modify images.
The author is responsible for ensuring the accuracy and originality of all images and copyright compliance
Part 2: Guidelines for Reviewers
CITIZEN: The Indonesian Multidisciplinary Scientific Journal is committed to upholding integrity standards in the process of reviewing manuscripts submitted by the editor. The reviewer maintains the confidentiality and ownership of the author and is responsible for the assessment and scientific consideration of the manuscript being evaluated. As a reviewer, AI tools should not be used, especially in the evaluation of manuscripts because they can risk wrong, incomplete and biased conclusions. AI is only used as a support, for example, improving the language in the review written by the reviewer, or searching for background literature but on the condition that confidentiality is maintained and supervised.
Part 3: Guidelines for Editors
This policy applies to Editors at CITIZEN: Indonesian Multidisciplinary Scientific Journal in relation to managing the evaluation of a manuscript. Editors are responsible for editorial assessment and decision-making processes. AI tools cannot replace an editor's critical thinking, independent evaluation, or final decision-making. Editors remain fully responsible and accountable for the editorial process, final decision, and delivery to authors.
Therefore, editors should only use AI tools in a supporting capacity, for example to improve the language or structure of their decrees, or to assist with background literature searches, provided that confidentiality is maintained and human control and supervision are maintained.
Submitted manuscripts will first be reviewed by the editor to determine if they are in accordance with the theme of the edition and submission guidelines. Manuscripts that match the theme and guidelines will be assigned to selected reviewers for peer review. Citizen: Indonesian Multidisciplinary Scientific Journal is a journal that uses a double-blind peer review system that engages reviewers based on their expertise relevant to the topic of the manuscript.
